[edit] Meeting leader preps the meeting

  • Use a collaborative editing tool, such as Etherpad. You can reuse the same pads for meeting with same group, to keep it simple.
  • Paste Meeting Notes Template onto the editing page.
  • Build the agenda ahead of time.
  • Paste links to the wiki of reference pages.

[edit] Participants prep

  • Be on time. Call into the conference call (either Free Conference by phone or Skype via computer) a few minutes early just to be on the safe side, and get to designated URL of collaborative editing tool.
  • Get into Dreamfish Chat. Use this chat channel, for example, prior to a meeting in case there are any announcements  about the meeting. Everyone can easily access it. During the meeting you can use the collaboritive editing tool.
  • Be prepared to discuss your agenda items and prepare any pages on the wiki for review.

[edit] During the meeting

  • Start on time. End on time. It helps to designate someone who can keep the meeting moving along, and announce the last 15 minutes to wrap up and check out.
  • Use wiki syntax during the meeting for headers, bullets, and links to people and pages to save time formatting afterward the meeting.
  • Use Chat on Etherpad as a "back channel". In a virtual meeting, you likely don't have physical gestures to rely on as another mode of communication. So, a back channel gives you another way to raise your hand, offer an idea without interrupting someone talking, or troubleshoot technical issue.
  • At end of meeting, designate one person responsible to save the meeting notes (see below).

[edit] After the meeting

  • Participants, copy your own Next Steps to your personal Task management system.
  • Update project pages with Next Steps.
  • After the meeting, create a new wiki page, starting with the date, MM-DD-YYYY, and caps on first letters of words.
  • Paste the notes onto the wiki page. (If you prefer, you could also email out the notes to the other participants.)
  • Categorize your meeting noteson the wiki
    • with Category:Meeting notes to make it available for anyone, and/or use project or group name in the category.
